For shipping companiesMariner's Desk HQ
A shore-office system for crew compliance, the roster, planned maintenance and leave. It works from the records seafarers already keep on their own phones, so the office stops chasing paperwork and stops typing it in twice.
01Why it's built this way
The seafarer owns the record. The company has a live view of it, with the seafarer in control of changes.
Most crewing systems ask the company to hold the crew's records. That makes the company the owner of a seafarer's professional history, and it makes the seafarer's record change whenever the company's files do.
Mariner's Desk HQ works the other way. A seafarer's record stays in their own Mariner's Desk account. Your company links to it through an invite, and sees what it needs. When your office wants to change something, it proposes the change. The seafarer accepts or rejects it. Nothing changes on their record without them.
That keeps the record trustworthy for the seafarer, for you, and for anyone who audits it later.
02Compliance, at a glance
The questions your office asks every week, answered on the first screen.
- What's due. Expired and expiring certificates across the fleet, in one list.
- Who's missing what. A matrix of certificates per crew member, set against your company's requirements for each rank.
- Your requirements. Set what's mandatory, recommended or not required for each rank. A starter STCW template gives you sensible defaults, and it never overwrites anything you've set.
- Rest hours and sea service. Seafarers log rest hours in the app, and your company countersigns them. Sea service is signed off by both the seafarer and the company.
- An audit trail. Every action is recorded, with who did it and when. It can't be edited.
03Roster, cover and leave
One schedule for the whole fleet, with the checks done for you.
- Assignments with checks. The app blocks double-booking, and warns you when someone is missing a certificate their rank needs.
- Manning gaps. Set the minimum crew for each vessel. Gaps show up straight away, with a short-cut to fill them.
- Rotation and relief. See every assignment ending in the next 60 days, across the fleet.
- Leave, routed your way. Choose whether the Master or Chief decides, the shore office decides, or the two decide in turn. Approved leave updates the roster on its own.
04Planned maintenance
Jobs that go with the role, not the person, so they keep moving when crew change.
- Recurring jobs by calendar date, by running hours, or whichever comes first.
- Templates so a job built once can be used across the fleet.
- Assign to a rank and every crew member holding that rank on the vessel can see the job and complete it. Anyone holding that rank can claim it, so two people don't start the same work.
- Completion with a comment, the parts used from stock, and an optional photo as evidence.
- A fleet view of overdue and upcoming work across every vessel.
05Control that stays with you
Roles, backups and exports, so the data is always yours to take out.
- Roles. Admin, editor, Master or Chief (for one vessel), and viewer. A Master sees only their own ship, and a viewer can read but not change anything.
- Exports. CSV for the lists, an audit pack for inspections, and a full company backup in JSON.
- Your data stays yours. If you stop using HQ, you keep the backup. Countersigned records stay with the company even if a seafarer leaves the app.
06Start with a pilot
We'd rather learn from your office than sell you something that doesn't fit.
We're offering a free, six-week pilot with no commitment. We set up your company, invite the crew who take part, and watch it closely throughout. We fix what doesn't fit how your office works, and we'll tell you honestly what isn't built yet. At six weeks, you decide whether to continue.
Pricing after the pilot isn't set. We'll put a proposal in writing when it is.
Where we are. We're early. We're running our first pilots with fleet operators now, and we're not a long-established vendor. For you, that means direct input into what gets built next, and direct attention from the people who build it, rather than a support queue.
