Mariner's Desk User Manual

Mariner's Desk keeps your certificates, sea service, rest hours and roster in one place, on your phone. It works offline, it's free, and the record belongs to you. This manual goes through every part of the app in the order you'll meet it, and it says plainly where the app stops.

Applies to the current web app and the Android app. Where the two differ, the text says so.

01

Before you start

A few things worth knowing before you put your records in.

Mariner's Desk is a personal record app for seafarers. You put in your certificates, your voyages, your rest hours and your leave, and the app keeps them up to date and tells you when something needs attention.

Some things about how it works:

Keep a backupExport your data regularly from Settings, especially before you change phones or reinstall the app. Section 12 explains how.
02

Creating your account and signing in

An account keeps your records safe if you lose or change your phone.

Creating an account

  1. Open Mariner's Desk and choose Create account.
  2. Enter your email address and a password of at least six characters.
  3. Enter your name. Your name appears on the records your company sees.
  4. Choose your department (Deck, Engine or Catering). This decides which requirements and reference material you see first.

You can keep using the app without an account, but records you add that way stay on that device only. Creating an account later copies them across.

Signing in on a new phone

Sign in with the same email and password. Your records download to the new device. Your PIN is set per device, so you'll set it again.

If you forget your password

  1. On the sign-in screen, tap Forgot password? Type your email address first, then tap the link.
  2. Check your inbox. The email contains an 8-digit code and a link.
  3. Enter the code and your new password on the screen the app shows you. The code works once and expires after 24 hours.
  4. If the code doesn't arrive, check your spam folder. If you still can't find it, ask for a new one. Only the newest code works.
Why a code, not just a linkEarlier versions asked you to open a link in the email and then came back to the app. That didn't work reliably on every phone. The code lets you finish the reset without leaving the app.
03

First-time setup

Five minutes now saves a lot of searching later.

  1. Name and rank. Go to Settings and fill in your name and current rank. Your rank drives your sea-service progress, so get it right.
  2. PIN lock. Set a PIN so anyone who picks up your phone can't open your records. You can also turn on biometric unlock (fingerprint or face, depending on your phone). The PIN always stays as the fallback.
  3. Company link. If your company gave you a joining code, enter it under Settings, then Company link. Once linked, your company can see your certificates and sea service, and you'll see your roster and leave requests.
  4. Notifications. Turn on push notifications if you want an alert when a certificate is due to expire. The app sends it once a day, from 90 days before expiry, even when the app is closed.
  5. Language. The app is in English. Tagalog covers the welcome screen and the main navigation only. It's machine-translated and hasn't been checked by a native speaker yet, so treat it as a preview.
Linking is optionalNothing is shared with your company until you link. You can use the app for your own records with no company at all.
04

The Home screen

Home shows you what needs attention, and nothing else you don't need today.

Everything on Home is live. If a number looks wrong, the quickest check is the record it comes from. Sections 3 to 5 cover those screens.

05

Certificates

Your certificate wallet: the cards you carry, plus the scans behind them.

Adding a certificate

  1. Open Certificates and tap Add.
  2. Type in the details, or attach a photo or PDF of the certificate. Where the app can read the scan, it suggests the certificate type and number, and you confirm them before saving.
  3. Enter the issue and expiry dates. Leave the expiry blank if the certificate doesn't expire.
  4. Tap Save. The certificate appears in your list with a status.

PDF scans are backed up to your cloud account the same as images. If you reinstall the app or lose the phone, your scans come back with the rest of your records.

Statuses

StatusWhat it means
ValidIn date, with more than 90 days to run.
ExpiringExpires within 90 days. You'll get a push alert if notifications are on.
ExpiredThe expiry date has passed.

Searching and sharing

Search works across your certificates by name, type or number. For a printed or shared summary, use the summary option on the Certificates screen. It lists your certificates and their expiry dates on one page, which is useful at a port inspection or when your company asks for a quick list.

When your company proposes a change

If your company wants to add a certificate to your record, or change one you have, the proposal appears on Home and in Certificates. It shows what's being proposed and who proposed it.

Why this works this wayYour professional record shouldn't change without you knowing. Company staff can propose a change, but only you can make it part of your record.

Expiry alerts

In Settings, turn on notifications. You'll get a push notification once a day for any certificate that is expiring within 90 days.

06

Sea service

Your voyage log, your sea-time total and your progress toward the next ticket.

Logging a voyage

  1. Open Sea service and tap Add voyage.
  2. Enter the vessel, your rank, the start and end dates, and the area or trade if you want to record it.
  3. Save. Your sea-time total updates straight away.

Overlapping dates are merged, so the same days are never counted twice.

Checking your progress

The progress view shows how many months of sea service you have toward your next Certificate of Competency, and what's still missing. It depends on the rank you hold and the sea-time rules for your flag state. Set your flag state on the Sea service screen to see any extra notes your administration asks for.

Company sign-off

Each voyage has two parts: your own declaration, and your company's sign-off. A voyage shows as Verified only when both are done.

StateMeaning
VerifiedYou have declared it and your company has signed it off.
Awaiting company sign-offYou have declared it. Your company hasn't signed it yet. This is honest, not a fault.
Don't rely on the app aloneThe app shows your record as your company and you have entered it. Your official discharge books, your flag state's records and your company's own files are the ones that count for an inspection or an application.
07

Rest and work hours

Rest hours are where most seafarers need the most help, so this section goes into the most detail.

What the app checks

The app applies the STCW rules on hours of rest, using a rolling window rather than calendar days. For each day it checks:

When a day falls short, the app lists the problem under that day, with the exact number of hours it found. A day with no problems shows as compliant.

Logging a day

  1. Open Tools, then Rest hours, and choose the month.
  2. Tap a day and add each period of rest or work, with its start and end time.
  3. The day's totals and any issues update as you go.

Nothing needs to be added in real time. You can fill the month in later, as long as the times are right.

Signing and countersigning

At the end of a period, you sign the record. If your company countersigns it, the record is marked as countersigned, and the company's name and role appear on it. Countersigned records are what your company keeps on its own side.

Exporting

Use Export CSV to take a copy of any period. The file opens in any spreadsheet and is useful for your own file or for an audit.

Offline use

Rest hours work fully offline. Records you add or sign are stored on the phone and sent to your company when you next have a connection.

AccuracyThe app is only as accurate as the times you enter. The compliance check is a guide. Your company and your flag state decide what counts, and exceptions are allowed under STCW in some circumstances that the app can't judge.
08

Roster, leave and assigned jobs

This is where your company's schedule and your own leave meet.

Your assignments

The Roster tab lists every assignment your company has recorded for you, with the vessel, the rank and the dates. An assignment with no end date is ongoing.

Requesting leave

  1. Open Roster and tap Request leave.
  2. Choose a type: Annual, Sick, Compassionate, Unpaid, or Other.
  3. Enter your start and end dates, and an optional reason.
  4. Submit. The request goes to your company, and you can see its status here.

Leave is approved in the way your company has set up. Some companies approve it with the Master or Chief Engineer first, then shore staff sign it off. Others use one step. You'll see who has responded to your request, and when.

When leave is finally approved, it goes onto the company's roster automatically. You don't need to do anything else.

If your company tracks a leave balance, it shows on this screen.

Maintenance jobs assigned to you

If a planned maintenance job on your vessel is assigned to you, it appears on Roster and on Home when it's due soon or overdue. To sign it off, open the job, add a comment, and record any parts you used. Your company sees the update straight away.

09

Tools: reference material and calendar

Reference material for work and for study, all in the app.

Reference tabs

Tools holds reference material you can read on the ship without a connection:

Search helps you find a topic quickly across the reference tabs.

Reference, not regulationThe summaries are for quick reference and study. Always check the current text of the convention or your flag state's requirements before you rely on it.

Calendar

You can put your records in your phone's calendar. Use Export all to calendar for a one-time copy (an .ics file), or live subscription to have your calendar app update as your records change. Keep the subscription link private, because it gives access to your dates.

Tax counter

The tax counter adds up the days from your voyage log for the period you choose, so you don't have to type the same dates twice. It's a counter. Your tax filing and any tax rule that applies to you come from your own advisor or tax authority.

Emergency card

The emergency card holds your next-of-kin details and any medical information you choose to add. It's saved to your account and visible only to you. Your company can't see it.

10

Settings

Everything about your account, your privacy and the app itself.

SettingWhat it does
Name, rank, departmentYour details. Rank drives sea-service progress.
Company linkEnter or change the joining code that connects you to a company.
PIN and biometric unlockLock the app on this device. The PIN is always the fallback.
NotificationsPush alerts for certificates expiring within 90 days.
LanguageEnglish, or Tagalog (welcome screen and main navigation only, machine-translated).
AppearanceLight, Dark, or match your phone's setting.
Backup and restoreExport a copy of your data, or restore from one.
Clear local dataRemoves records stored on this device. Records in your cloud account are not affected.
Delete accountPermanently deletes your account and cloud data. See below.

Deleting your account

Deleting your account removes your records from Mariner's Desk, including your certificates, sea service, rest logs and your company link. It can't be undone, so export a backup first if you want a copy.

Your company keeps some recordsRest-hours records and sea-service sign-offs that your company has countersigned or signed off stay on the company's side, so its compliance history is intact. Those records show your name as account deleted. Talk to your company before you delete your account.

Your privacy

Your records are stored in your own account. Your company can see only what you've linked and what's relevant to it. It can't see your emergency card, and it can't see anything outside the parts of the app it's been linked to. The app's privacy statement sets out the details.

11

Backup, restore and offline use

Your phone can be lost or broken. Your records shouldn't be.

Where your records live

Making a backup

Go to Settings, then Backup, and export. You get a single file with your records. Keep it somewhere safe. A backup is the only copy that doesn't depend on the app or your account.

Restoring

On a new phone, sign in and your records sync down. If you're restoring from a file, choose Restore in Settings and pick the file. Records already on the phone are merged, not duplicated.

DuplicatesIf you see the same certificate twice, don't delete one at random. Check the dates and scans first. The app matches records on their content, so an exact copy usually means a sync happened twice, and one of them can go.

Working offline

Offline, you can add and edit certificates, sea service, rest hours and notes. The app sends changes once you're back online. If you use the app on a shared device, such as a bridge terminal, the PIN and sign-in still protect your records.

12

Flag-state notes

Reference points for the most common flag states. Confirm everything with your administration.

Each flag state has its own rules for certificates of competency. The notes below summarise what the current guidance we reviewed says for each one. They're a starting point, and the current rules come from your flag state.

Flag stateNote from the guidance reviewed
United KingdomMCA. An online exam (Part A), then an oral exam (Part B) for most certificates. An oral pass is valid for three years.
PhilippinesMARINA. Competency assessment under its Competency Assessment System, with oral, theoretical and practical elements. Practical assessment was being piloted in 2026.
PanamaAn endorsement of your certificate is needed within 90 days of joining a Panama-flag ship.
Marshall IslandsA three-day written examination, with a 70% pass mark in each part.
LiberiaWritten platform and criteria exams, with a 70% pass mark. A medical examination is needed within 12 months of applying.
IndiaDG Shipping. Examinations are held in phases.
New ZealandMaritime New Zealand. The final examination is an oral exam, arranged through your training provider.
AustraliaAMSA. An oral exam for STCW certificates of competency. A GMDSS certificate is needed for the unlimited Master certificate and for other officer-level certificates.
Check before you rely on thisRequirements change. Use the current guidance from your flag state, and ask your company's training or crewing team if you're not sure.

Common questions

Short answers to the questions we hear most.

Do I own my data?

Yes. Your certificates and sea service belong to your account. Your company sees what you've linked it to see, and no more.

What happens if I change companies?

Unlink the old company and link the new one with its joining code. Your records stay with you.

Can my company change my certificates?

No. It can propose a change. You accept or reject it, and only accepted changes go into your record.

I'm not getting expiry alerts.

Check that notifications are turned on in Settings, and that your phone allows notifications from the app. The section on troubleshooting in the Troubleshooting Guide covers the usual causes.

The app says I'm signed out.

Sign in again with your email and password. Your records on the device are kept until you sync.

I'm offline. Will I lose anything?

No. Changes are kept on the phone and sent when you're back online.

Where do I get help?

Start with the Troubleshooting Guide. If the answer isn't there, email [email protected] with what you were doing and what you saw.
